EVENT SPACE RENTAL AGREEMENT AND CONTRACT

RENTAL CONTRACT RESERVATIONS PROCESS

 

A rental contract must be signed, and deposits submitted in to confirm the venue. 

The Client represents that he/she desires to hold a special event at Edutainment Learning Center: The Event Room. Therefore, the client agree as follows:

  1. VENUE RENTAL FEE(S) 

    • The CLIENTS agree to pay a non-refundable SECURITY DEPOSIT of 50% of the total rental fee. This Payment is for the use of the venue for the specified date of event and is payable at the time of contract signature. If for any reason, Edutainment Learning Center: The Event Room is unable to fulfill its contractual obligation under this contract, the entire deposit will be returned with no further penalties or liabilities. In the event of cancellation by the CLIENT of this special event, this deposit will be non-refundable.  

    • A refundable DAMAGE DEPOSIT of $100.00 (Returnable to the CLIENT(S) up to one three days after the event has been held once property has been inspected for potential damage from special event.  

    • The remaining balance of 50% will be required 2 weeks before the date of the event. If event is booked 2 weeks or less of the event date, the entire amount is due at the time of booking. 

DATE CHANGES:  In the event the CLIENT(S) if forced to change the date of the event, every effort will be made by Edutainment Learning Center: The Event Room. to transfer reservations to support the new date. The CLIENT(S) agrees that in the event of a date change, any expenses including but not limited to deposits and fees that are nonrefundable and non-transferable.

  1. CLIENT(S) CANCELLATIONS:  In the event of a cancellation, the 50% deposit is NON-REFUNDABLE.  The damage deposit is refundable.

  2. LOCATION:  The CLIENT(S) understands that they and their invited guests will abide by all contract requirements while on the property of the Edutainment Learning Center: The Event Room.

  3. UNFORSEEN EVENTS: The CLIENT(S) cannot hold Edutainment Learning Center: The Event Room responsible for failure to provide basic facilities and services due to emergencies, catastrophes or interruptions of event. If Mother Nature or COVID-19 restrictions were to occur preventing the event from taking place as scheduled, Edutainment Learning Center: ELC. Event Room will allow for the event to be rescheduled, pending availability, with no penalty. 

  4. FOOD & CATERING:  Edutainment Learning Center: The Event Room does not provide any food or catering.       

  5. EVENT TIMES: 

  • Please allow appropriate time to break-down and clean-up. We suggest you start cleaning up 45 minutes to one hour before your scheduled time is up.

  • All event trash must be disposed of in the dumpster at the conclusion of the event in the front of the building. 

  • ALL venders (florists, bakers, musicians, rental company, etc.) must adhere to the terms of our guidelines and it is the CLIENT’S responsibility to share these guidelines with them.

   6. COURTSEY PROTOCOL:

Edutainment Learning Center: The Event Room has the right to request any person or group of people acting unruly and contrary to rental regulations to leave the premises. Assistance from law enforcement agencies may be acquired if this request is not met immediately.

    7. LIABILITY:  The CLIENT(S) or Guest of Clients cannot hold Edutainment Learning Center: The Event Room, its board of directors, staff and volunteers, liable for suit, actions, damages and expenses in connection with personal injury, illness, property damage, or theft resulting from the use of any facility at Edutainment Learning Center: ELC. Event Room. 

    8. ENTIRE AGREEMENT: This Agreement contains the entire agreement of the parties and there are no other promises or conditions in any other agreement whether oral or written. This Agreement supersedes any prior written or oral agreements between the parties.

    9. AMENDMENT: This agreement may be modified or amended if the amendment is made in writing and is signed by both parties.

    10. SERVERABILITY: If any provision of this Agreement shall be held to be invalid or unenforceable for any reason, the remaining provisions shall continue to be valid and enforceable. If a court finds that any provision of this Agreement is invalid or unenforceable, but that by limiting such provision it would become valid and enforceable, then such provision shall be deemed to be written, construed, and enforced as so limited.

    11. WAIVER OF CONTRACTUAL RIGHT: The failure of either party to enforce any provision of this agreement shall not be construed as a waiver or limitation of that party’s right to subsequently enforce and compel strict compliance with every provision of this agreement.

    12. APPLICABLE LAW: This agreement shall be governed by the laws of the State of Maryland.

    13.  RULES AND REGULATIONS:  The following is a list of rules and regulations to be upheld by CLIENT(S), which includes all EVENT PLANNERS and WEDDING COORDINATORS and VENDERS who are involved in the planning and execution of a special event on the premises of the Edutainment Learning Center: ELC. Event Room.

  • Event Ending Time: All events must end by the specified time listed in this agreement. If events run over by one minute of the ended time, an additional charge of $200 will be assessed.  

  • A representative will be available to open at the scheduled usage time. Client must make sure all doors are locked when leaving the facility.

  • Decorations: All decorations must be removed without leaving damages. You, the user, are responsible for removing all decorations you put up for all personal and contracted property. 

  • Client is responsible for ALL decorations including table and chair coverings unless renting from Edutainment Learning Center: The Event Room. We do not allow anything to be hung, taped, or tacked on the walls.  

  • 6 Round tables, 4 rectangle tables, and up to 65 chairs are provided by Edutainment Learning Center: The Event Room.

  • The CLIENT(S) are responsible to ensure all garbage from your event is removed from inside and outside the building and placed in the outside dumpster. If your function causes the space to require an additional garbage pick-up or clean-up, we will deduct it from your damage deposit.

  • Absolutely NO chewing gum, NO small glitter or confetti decorations are allowed. If gum is found in the floor, carpet, on the walls or in the Urinals the CLIENT(S) will be billed an additional $150.

  • Be kind and leave the property as you found it. In addition, any cleaning that our staff must do, will be billed at $100 an hour.

  • Spills must be cleaned immediately by client.

  • Music must be kept at a reasonable volume to respect neighbors.

  • Children are not permitted to wonder the grounds unsupervised by an adult.

  • All electrical outlets on the property are available for use by the parties and their vendors.

  • The parties are welcome to inspect the location and number of outlets prior to booking.  Fixtures, decorations, emblems, decorations, or other Edutainment Learning Center: The Event Room property will not be removed or rearranged for any reason.

14. TABLE AND CHAIRS:   Edutainment Learning Center: The Event Room will supply up to six 60-inch round tables, four 2 ft x 6 ft rectangle tables, and up to 65 chairs.
